Air Freight Costs 2026: Per-Kilo Math and the 999-Kilo Cliff
Updated: 2026-10-27

The Weight on the Scale Is Not the Weight You Pay For
Air freight never bills the number your bathroom scale shows. It bills chargeable weight, which is the greater of two figures: the actual gross weight, and the volumetric weight of the space the cargo occupies. Volumetric weight is length x width x height in centimetres divided by 6,000. That divisor is the whole game. One cubic metre of cargo works out at 167 kg, so anything lighter than 167 kg per cubic metre pays for air it never fills.
The first time this caught me was a lighting order out of Shanghai: 240 LED panels, 8 cartons, 480 kg on the packing list. I budgeted freight on 480 kg and felt clever. The forwarder invoiced 960 kg, twice my number, because each carton measured 120 x 80 x 75 cm. Nobody lied to me. I had simply never read the top line of the air waybill closely enough to notice that the kilograms being priced were not the kilograms I had weighed.
- Actual weight: what the cartons weigh on a calibrated scale, 480 kg in this order.
- Volumetric weight: 120 x 80 x 75 cm = 720,000 cm3 per carton, divided by 6,000 = 120 kg per carton, times 8 cartons = 960 kg.
- Chargeable weight: the higher of the two, so 960 kg. Density here is 83 kg per cubic metre against a 167 kg break-even.
| Carton | Dimensions (cm) | Volume (m3) | Actual (kg) | Volumetric (kg) | Billed (kg) |
|---|---|---|---|---|---|
| LED panel, 60 units | 120 x 80 x 75 | 0.72 | 60 | 120 | 120 |
| Eight cartons | 120 x 80 x 75 | 5.76 | 480 | 960 | 960 |
| Same eight, 45 cm high | 120 x 80 x 45 | 3.456 | 480 | 576 | 576 |
Six Thousand Versus Five Thousand: The Divisor Fight
IATA-style air freight uses 6,000 as the divisor. Express integrators such as DHL and FedEx commonly use 5,000, which turns one cubic metre into 200 kg instead of 167 kg. The same carton can therefore be 20% heavier on a courier account than on an airline tariff. When a quote looks mysteriously high, check which divisor produced the kilograms before arguing about the rate.
We rebuilt the cartons instead of negotiating. The factory dropped the height from 75 cm to 45 cm by packing the panels flat rather than on edge, which took the volume from 5.76 m3 to 3.456 m3 and the chargeable weight from 960 kg to 576 kg. At USD 5.10 per kg that is USD 1,958 off the freight line, and because freight sits inside the customs value it also cut the duty and the VAT riding on top: total landed cost fell by USD 3,325, about 10% of the order, and the supplier charged nothing for the change. There is a floor to this trick. Once the cartons measure under 2.87 m3 the actual 480 kg becomes the chargeable weight and further shrinking buys you nothing.
| Line | 75 cm cartons (USD) | 45 cm cartons (USD) | Difference |

The 999-Kilo Problem
Air rates are quoted in weight breaks, typically under 45 kg, 45 to 100, 100 to 300, 300 to 500, 500 to 1,000 and above 1,000 kg. Each break has its own per-kilo price, and the price applies to the whole shipment, not just the kilograms above the threshold. That creates cliffs. On the August 2026 China to Amsterdam indications, the 100 to 1,000 kg band tops out at USD 5.92 per kg while the 1,000 kg plus band starts at USD 4.95. A 999 kg shipment at the top of the lower band costs USD 5,914. A 1,000 kg shipment at the bottom of the upper band costs USD 4,950. One extra kilogram cuts USD 964 off the bill.
Forwarders rarely volunteer this. My rule now is to ask two questions before booking: what is the next weight break, and what would it cost to reach it. On this order I was at 960 kg and quoted USD 5.10. The 1,000 kg break priced at 4.95, so I added 40 kg of spare drivers and mounting brackets that would have been air-freighted in January anyway. The freight rose USD 54, to 4,950, and duty plus VAT added about 19 more. Forty kilos landed at under USD 2 a kilo, against roughly USD 300 of extra clearance and delivery for a separate small shipment later.
| Chargeable weight | Band applied | Rate (USD/kg) | Freight (USD) |
|---|---|---|---|
| 90 kg | Under 100 kg | 6.06 | 545.40 |
| 480 kg | 100 to 1,000 kg | 5.92 | 2,841.60 |
| 960 kg | 100 to 1,000 kg | 5.10 | 4,896.00 |
| 999 kg | 100 to 1,000 kg | 5.92 | 5,914.08 |
| 1,000 kg | 1,000 kg plus | 4.95 | 4,950.00 |
| 1,040 kg | 1,000 kg plus | 4.95 | 5,148.00 |
What the Per-Kilo Number Leaves Out
The airport-to-airport rate covers the flight, the fuel surcharge, security screening and standard terminal handling. It does not cover pickup at origin, export customs, the air waybill fee, destination clearance, delivery, storage past the free days, or dangerous goods paperwork. Across the Asia to Europe lanes those add-ons commonly run 30% to 60% of the base rate, which is why two quotes at USD 5.10 and USD 5.90 per kg can reverse order once the build is itemised.
Here is the actual invoice for the 960 kg shipment, stripped of the forwarder's branding. The freight line is 75% of what I paid. The other 25% is a list of small, boring charges that no comparison site shows you, and two of them, clearance and delivery, are unavoidable no matter who you book.
| Invoice line | Basis | USD |
|---|---|---|
| Air freight | 960 kg x 5.10 | 4,896.00 |
| Fuel surcharge | 20% of base | 979.20 |
| Security screening | 960 kg x 0.15 | 144.00 |
| Terminal handling, both ends | 960 kg x 0.12 | 115.20 |
| Air waybill fee | flat | 45.00 |
| Export clearance, China | flat | 85.00 |
| Import clearance, Netherlands | flat | 120.00 |
| Delivery, Schiphol to Rotterdam | flat | 180.00 |
| Cargo insurance | 1% of FOB | 186.00 |
| Total | 6,750.40 |
Amsterdam, Frankfurt, Paris: The Door Changes the Price
The same 960 kg from Shanghai prices differently depending on which European airport it lands at. August 2026 indications show Amsterdam at USD 4.18 to 5.92 per kg in the 100 to 1,000 kg band, Frankfurt at 2.37 to 6.20, Paris at 2.92 to 6.20, Liege at 5.29 to 6.20 and Milan at 5.22 to 5.85. Amsterdam's range is narrow, Frankfurt's is wide: the German hub has the lower floor and the higher ceiling, because direct capacity there is deeper and more contested.
Dutch importers default to Schiphol and then complain about the rate. Schiphol handled 1.43 million tonnes of cargo in 2025, down 4.2% on 2024, with belly space at 44% of the total in the first half and Asia volumes the one bright spot, up 4% on e-commerce. It is a good airport with a thin freighter base, and thin freighter bases price badly in a peak. From Rotterdam, Frankfurt is roughly 470 km by road against 50 km from Schiphol, so the truck leg is real, but it is a few hundred euros against a rate spread that can run past a thousand.
| Gateway | Under 100 kg | 100 to 1,000 kg | 1,000 kg plus | Road to Rotterdam |
|---|---|---|---|---|
| Amsterdam AMS | 4.39 - 6.06 | 4.18 - 5.92 | 4.16 - 4.95 | 50 km |
| Frankfurt FRA | 2.51 - 6.34 | 2.37 - 6.20 | 2.30 - 5.22 | 470 km |
| Paris CDG | 3.20 - 6.34 | 2.92 - 6.20 | 2.79 - 5.22 | 430 km |
| Liege LGG | 5.36 - 6.34 | 5.29 - 6.20 | 5.22 - 5.36 | 180 km |
| Milan MXP | 5.36 - 6.27 | 5.22 - 5.85 | 5.08 - 5.57 | 1,100 km |
Your Freight Bill Is Also a Tax Base
Under Article 71(1)(e) of the Union Customs Code, the customs value includes the cost of transport and insurance, plus loading and handling charges, up to the place where the goods are brought into the customs territory. Air freight is therefore not a cost that sits beside your duty, it is a cost that multiplies it. Every dollar of freight and insurance is also charged at the duty rate, and then the whole lot is charged again at the import VAT rate.
On this order the freight and insurance that count towards the border were USD 6,320.40. Duty at 12% added USD 758.45 on top of that, and Dutch VAT at 21% added another USD 1,486.56 on the freight-driven part of the base. The freight bill dragged USD 2,245 of tax behind it, 35.5% of its own value. That single calculation is why the cheap-and-slow option is not a false economy: it is the same goods, the same duty rate, and a smaller taxable base.
- Counts towards customs value: main freight, fuel surcharge, security, terminal handling before arrival, cargo insurance.
- Does not count: import clearance fees charged after arrival, delivery from the airport, storage after import, AWB administration.

Four Days, Not One: What Transit Time You Actually Buy
The published uplift time is not the door-to-door time. Shanghai to Amsterdam is 1 to 3 days in the air on a direct or one-stop service. Add one day for export clearance and handover, one to two days for import clearance and transfer to the forwarder's shed, and one day for the truck to Rotterdam. Realistically 4 to 6 working days from pickup to unloading. Rail from China to Europe runs 18 to 25 days and sea runs 30 to 45 days to Rotterdam plus clearance.
The difference between air and sea on this order was USD 7,250 for 32 days saved, which is USD 227 a day. If the goods are a launch stock for a retail date, that is cheap. If they are commodity fittings that sit in your warehouse for six weeks either way, it is a donation. I have paid it both ways and I regret exactly one of the two.
| Mode | Door to door | Landed cost (USD) | Speed premium |
|---|---|---|---|
| Air, direct or one stop | 4 - 6 days | 34,202.13 | 7,250.87 for 32 days saved |
| Rail, China to Europe | 18 - 25 days | sits between the two | not priced here |
| Sea LCL to Rotterdam | 34 - 40 days | 26,951.26 | reference |
The 2026 Market You Are Buying Into
Air cargo demand grew 3.9% year on year in July 2026, measured in cargo tonne-kilometres, while capacity grew only 1.7%, according to IATA. European carriers were up 4.4% and Asia-Pacific 4.1%. The Freightos Air Index snapshot for 26 October 2026 puts the global average at USD 3.10 per kg, Asia to Europe at 4.71 and Asia to North America at 6.03. The Baltic Air Freight Index was 19.6% higher year on year in early August, and China to Europe spot rates rose 8% to 15% between July and August as peak season arrived early.
Two structural things are pushing those numbers. First, cross-border e-commerce and AI server shipments are eating direct capacity out of South China, so the cheap connecting routings and the expensive direct ones have pulled apart. Second, the EU closed the duty-free door on low-value parcels: since 1 July 2026 a flat EUR 3 duty applies per item on consignments up to EUR 150, and it runs until 1 July 2028 under Council Regulation (EU) 2026/382. The Commission counted almost 5.9 billion such items entering the EU in 2025 and found more than 60% of inspected low-value products failed EU standards. That is a tax change, not a freight change, but it moved a lot of parcel volume into exactly the air capacity you are now bidding for.
- Book two to four weeks ahead if the cargo must fly in November or December; Q4 adds roughly USD 1 to 3 per kg across bands.
- Ask for the direct and the connecting option priced separately, the gap has widened on China to Europe.
- Do not assume rates collapse in January; capacity, not calendar, sets the floor.
The Four-Line Bid Sheet I Send to Three Forwarders
I no longer collect quotes. I send a four-line bid sheet and require the answers in writing, on one page, with a validity date. Every line exists because a forwarder once answered it vaguely and the vagueness cost me money.
The sheet works because it removes the two ways a quote hides: a different divisor, and a missing build. Three replies on one page also make the negotiation short. If a forwarder cannot put a number on line one, the quote is a guess wearing a logo, and I do not need a fourth guess.
- Line 1: chargeable weight, with the divisor stated and the dimensions used. If it is not 6,000, explain why.
- Line 2: all-in airport-to-airport rate per kg, with fuel, security and terminal handling included, not listed separately.
- Line 3: every destination charge by name, including clearance, terminal, documentation and delivery, plus the free storage days.
- Line 4: door-to-door transit in working days, cargo cutoff at origin, and the liability limit per kg.
- Skip air when density is under 100 kg per cubic metre, when the goods are worth less than about USD 8 per kg, or when nothing breaks if they arrive in six weeks.

Frequently Asked Questions
How much does air freight cost per kg from China to Europe in 2026?
For general cargo in the 100 to 1,000 kg band, August 2026 indications ran USD 4.18 to 5.92 per kg into Amsterdam, 2.37 to 6.20 into Frankfurt and 2.92 to 6.20 into Paris. Above 1,000 kg the floors drop to USD 4.16 at Amsterdam and 2.30 at Frankfurt. The Freightos Air Index snapshot for 26 October 2026 put the Asia to Europe average at USD 4.71 per kg. Treat all of these as airport-to-airport, before fuel, security, clearance and delivery.
Why was my 480 kg shipment billed as 960 kg?
Because air freight bills chargeable weight, which is the greater of actual weight and volumetric weight. Volumetric weight is length x width x height in centimetres divided by 6,000, so one cubic metre equals 167 kg. Eight cartons of 120 x 80 x 75 cm are 5.76 m3, which is 960 kg of billable space. At 480 kg actual, the density was 83 kg per cubic metre, half the 167 kg break-even.
Is express courier cheaper than air freight for small shipments?
Often, below roughly 50 to 100 kg. Air freight carries a minimum charge of about USD 100 to 200, plus pickup, export handling and clearance, which can swamp a small shipment. Express couriers run USD 6 to 10 per kg but price door to door and handle clearance inside the fee, and they bill at a 5,000 divisor, so 200 kg per cubic metre. Quote both in the 50 to 150 kg range.
Do I pay duty and VAT on the air freight cost itself?
Yes, on the part incurred before the goods enter the EU. Article 71(1)(e) of the Union Customs Code adds transport, insurance, loading and handling costs up to the place of entry to the customs value. Duty is then charged on that larger figure, and import VAT is charged on the value plus duty. On a USD 6,320 freight and insurance bill with 12% duty and 21% VAT, the freight alone carried USD 2,245 of tax.
Should I fly into Amsterdam, Frankfurt or Paris?
Amsterdam is the shortest inland leg for a Rotterdam or Randstad delivery, about 50 km, but its published rates have a higher floor than Frankfurt: USD 4.16 versus 2.30 per kg at the 1,000 kg break in August 2026. Frankfurt has a wider spread, from 2.30 to 5.22, because direct capacity is deeper and more contested. Price both, then subtract the truck: the German leg is roughly 470 km and rarely costs more than the rate difference on a shipment above 500 kg.
